ASSESSMENT TASK 3 – Case Study

Read the case study below and answer the following questions in a report format, you are required to submit between 2 to 3 pages including the template

Case Study

Chairs R Us has gone through a major restructure in the last month. Your department has been streamlined, merging two teams into one. Management has addressed all the staff, explaining that the restructure is to create better efficiencies and improve the turnaround time from when a customer places an order to dispatch and receipt.

You have been appointed team leader of the newly formed team, which is a promotion from your previous role within the organisation.  The previous manager was a poor role model and was removed from this position due to unethical behaviour.  In your KPI’s it is stated that you must demonstrate and model ethical behaviour that enhances the organisations image.

To create efficiencies, (merging two teams to one) you have had to make some team members redundant.

This has caused problems in the new team, including:

  • Resistance to change
  • Confusion over roles and responsibilities
  • Confusion over team purpose and goals
  • Ineffective communication between old teams (or ineffective communication within new team structure
  • Lowered team morale
  • Reduced productivity
  • Feedback from external customers and onseller on poor communication and customer service

  1. Develop a communication strategy to assist in you in managing the flow of information to the team

Your communication strategy should:

  • include provisions for developing group dynamics
  • encourage team members and individuals to participate in the new team and team activities
  • encourage feedback
  • provide opportunities for team members to raise concerns, issues and problems
  • how you would communicate effectively with a range of stakeholders about the team performance plan and team performance

  1. As part of your communication strategy you will need to provide a diagram that shows the communication/information flow in the organisation and your new team
  2. Prepare a summary report that discusses :
  • Outline how your contribution to the work team will serve as a role model and why this is important. How will your behaviour as a role model enhance the organisations image for all stakeholders?
  • Group dynamics and communication was poor in the old teams, how will you create a positive dynamic? What are some issues that can hinder team performance if group dynamics are low?
  • Strategies you would implement to address and resolve each of the issues/problems that have been raised by the team
  • How you will gain consensus
  • How you would evaluate and resolve issues that have been raised by external stakeholders
  • How you would monitor the progress of the team and the issues that have been raised
  • What action you might take if one member of the team was still resistant to the changes after you had implemented all your strategies. How would this be communicated and to whom?
  • How you would evaluate feedback and what you would do with this information

  1. Using the Team Charter Template provided, prepare a team charter for your new team; you might like to include:

  • Context
  • Mission and objectives
  • Composition and roles
  • Resources and support
  • Authority and Boundaries
  • Operations
  • Negotiation and agreement
